- SXSW Permit Applications = Site plans will need to be submitted to COA/ACE via an ACE application. The event information submitted in the application will help the City determine which permits are required for your event. The final deadline for ACE applications is typically 30 days before the first day of your activation.
- Site Plan = Detailed, approved site plans, including exits and fire lanes, are mandatory for all permitted events.
- Event Plans = Final detailed site plans must be submitted to both ACE and SXSW.
Key Permits and Regulations
- Special Event Permit = Required for events involving street/sidewalk closures, temporary structures (stages, toilets), or amplified sound.
- Tent Permit = Required for tents larger than 400 square feet or within 20 feet of a structure.

- Volunteers = Volunteer crews include Film & TV venues, Line Guides, and more. Registration opens 2-3 months prior.
On-Site Operations
- Badge Pick-Up & Logistics = Registration opens at Palmer Events Center (March 8-11) and other locations like the JW Marriott and Fairmont starting March 11-12.
- Line Queuing = Discuss line queuing with your SXSW representative, as options vary.
- Credentials Checker = stationed at the main activation entrance to confirm the legitimacy of SXSW Badges and Wristbands.
- Clicker Counter = Used for tracking how many guests attended your event (you must bring your own)
- SXSW Official Banner = Every official SXSW event must have a SXSW banner (per client’s SXSW agreement) placed within the activation for the entire event.
